Use of Third Party AI Technology
We leverage third-party AI technology, provided by trusted service partners, to power US Global Mail’s AI features. These features are designed to assist you in managing your mail more efficiently by summarizing scanned documents, highlighting key details, and enabling smarter automation. To enable these features, we will disclose some of your information to our AI service providers. If you prefer not to use AI features, you can opt out at any time via your account settings. When AI features are disabled, your mail content will not be processed through any third-party AI systems.
Other Data
In the course of providing the Service, we may also process personal information contained in your mail, including without limitation: sex, age, date of birth, place of birth, passport details, citizenship, registration at place of residence and actual address, telephone number (work, mobile), details of documents on education, qualification, professional training, employment agreements, non-disclosure agreements, information on bonuses and compensation, information on marital status, family members, social security (or other taxpayer identification) number, office location and other data.
US Global Mail provides virtual mailbox and mail management services to both individual consumers and business customers. Depending on the nature of the relationship, US Global Mail may act as either a Data Controller or a Data Processor with respect to personal data.
When we act as a Data Controller, we determine the purposes and means of processing your personal data. This applies to individuals who sign up for and use our Service directly. Our privacy policy governs this relationship, and you may exercise your privacy rights as described in the Your Data Protection Rights section.
When we act as a Data Processor, we process personal data on behalf of a business customer (the “Controller”) in accordance with that customer’s instructions and our Data Processing Addendum. This applies when a business uses our Service to receive and manage mail on behalf of their organization, and personal data belonging to their employees, vendors, customers, or other contacts passes through our Service as a result.
In cases where we act as a Data Processor:
The business customer is the Data Controller and is responsible for their own privacy obligations to the individuals whose data is involved, including providing appropriate notice and obtaining any required consents.
Individuals whose personal data is processed through a business customer’s account should direct any privacy requests — including requests to access, correct, or delete their data — to that business customer directly, not to US Global Mail.
US Global Mail will handle such data solely in accordance with the business customer’s instructions, our Data Processing Addendum, and applicable Data Protection Laws.
US Global Mail does not use data processed on behalf of business customers for its own marketing or advertising purposes.

US Global Mail uses the collected data for various purposes:
Retention of Data
Your Personal Data will be retained for as long as your account remains active or as needed to provide you with the Service, and for a period of up to 180 days thereafter, as necessary to fulfill the purposes outlined in this Privacy Policy. We will retain and use your Personal Data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies. At the end of the applicable retention period, your Personal Data will be deleted, destroyed, or de-identified in accordance with our data retention practices and applicable law.
